How the Wedding Stationery Proofing Process Works

How the Wedding Stationery Proofing Process Works

Ordering personalised wedding stationery involves more than choosing a design. Before anything goes to print, there's an important step in between: the proofing process. At Calder & Kind, we use a print-on-demand model, which means your stationery is produced individually to your specifications once you've approved your proof. Here's exactly how it works.

Step One: You Submit Your Personalisation Details

After placing your order, you'll provide us with the personalisation details for your stationery — names, dates, venue, wording, and any other information specific to your design. The details we need will depend on the product you've ordered; for invitations, this typically includes the couple's names, ceremony date and time, venue name and address, and RSVP instructions. For on-the-day stationery, it might include guest names, table assignments, or a schedule of the day's events.

Take care when submitting these details. The proof we create will be based exactly on what you provide, so accuracy at this stage saves time later.

Step Two: We Create Your Digital Proof

Once we have your details, we create a digital proof — a visual representation of your stationery showing exactly how it will look with your personalised wording and design. You'll receive this to review before any printing takes place.

The proof is your opportunity to see the finished piece as it will appear in print. It shows the layout, typography, and all the text we've applied from your personalisation details.

Step Three: You Review the Proof Carefully

This is the most important step in the process, and it's worth giving it your full attention. Go through every element of the proof methodically:

  • Are all names spelled correctly — including middle names if shown?
  • Is the date right, written in the format you wanted?
  • Is the venue name spelled correctly? (Check against the venue's own website or correspondence if you're unsure.)
  • Are the address and postcode accurate?
  • Are ceremony and reception times correct?
  • Are RSVP details — email address, postal address, or website URL — accurate?
  • Is the RSVP deadline correct?
  • Does the spacing and layout look as you expected?
  • Is the quantity you've ordered still correct?

We recommend reading the proof slowly and carefully, rather than scanning it quickly. Reading it aloud can help you catch errors that your eye skips over. It's also worth asking someone else — a partner, a parent, or a friend — to check it independently. A fresh pair of eyes often spots things you've missed.

Step Four: Request Any Corrections

If you spot anything that needs changing — a misspelling, an incorrect time, a wording adjustment — let us know and we'll update the proof accordingly. You'll then receive a revised version to review again.

It's important to raise all corrections at this stage. Go through the proof thoroughly each time you receive a revised version, not just the sections that were changed, as adjustments can occasionally affect surrounding text or layout.

Step Five: You Give Written Approval

Once you're happy that everything is correct, you give us written approval to proceed. This is your confirmation that the proof accurately reflects what you want printed.

We ask for written approval — rather than a verbal or informal sign-off — because it protects both you and us. It creates a clear record that the proof was reviewed and accepted before production began.

Step Six: Print-on-Demand Production Begins

Only after your written approval is received does production begin. Your stationery is printed on demand — produced specifically for your order rather than from pre-printed stock. This means that once production has started, changes are not possible without placing a new order, which is why the proofing stage matters so much.

Print-on-demand production also means your stationery is made fresh for you, to your exact specifications.

Why Careful Proofing Matters

Errors that reach print are costly and time-consuming to correct. A reprint means a new order, additional cost, and a delay — none of which you want when you're working to a wedding timeline. The proofing process exists precisely to prevent this, and the time you invest in checking your proof carefully is time well spent.

If you'd like a reminder of everything that typically needs to appear on your invitations, our guide on what to include in wedding invitations covers the essentials and gives some optional wording examples to help you prepare your personalisation details.
